These terms apply when you use this website and the ALAiN HR system and mobile app (“the service”). By using the website or signing in to the system you agree to them. If you do not agree, please do not use the service and speak to HR.
1. This website
The website gives general information about ALAiN HR and may change at any time. Descriptions of payroll and statutory features, such as EPF, SOCSO, EIS and PCB, are for information and do not replace official guidance from the relevant authorities. PCB figures in particular are estimates.
2. Your account
- Accounts are issued by the company to its employees. You are responsible for everything done under your login.
- Keep your password confidential, do not share your account, and log out of shared devices.
- Tell HR immediately if you lose access or suspect someone else has used your account.
3. Using the service
- Use the service only for your work with the company and in line with company policies.
- Do not attempt to access other people’s data, bypass permissions, or interfere with the system.
- Attendance must be recorded by you, in person, at the actual time. Recording attendance for someone else is a disciplinary matter.
4. Accuracy of what you submit
Leave requests, expense claims, daily activity entries and any other information you submit must be true and complete. Claims need the correct amount, date and supporting receipt where required. Submitting false information may lead to rejection, recovery of amounts paid and disciplinary action.
5. Approvals and records
Requests are reviewed by your supervisor or HR. A submitted request is not approved until its status says so. Records kept in the service, including attendance, leave, claims and payroll, are the company’s official employment records.
6. Confidential information
You may see information about colleagues or the company through the service. Treat it as confidential, use it only for your duties, and do not copy or share it outside the company without permission.
7. Availability
We aim to keep the service available but cannot promise it will always be uninterrupted or error free. Maintenance, network problems or device limits may affect it. If the app is unavailable, follow the company’s manual procedure and inform HR.
8. Ownership
The service, its design and its content belong to ALAiN HR or its licensors. You may use it for your work but may not copy, modify or resell it.
9. Ending access
Access ends when your employment ends, or earlier if the company suspends it, for example after misuse. Data is then handled as described in the Privacy Policy.
10. Limits of responsibility
To the extent the law allows, the company is not liable for loss caused by events beyond its control, such as device failure, loss of connectivity or misuse of your login by someone else because it was not kept safe.
11. Changes and governing law
These terms may be updated; the date at the top shows the latest version and continued use means you accept the update. These terms are governed by the laws of Malaysia.
12. Contact
Questions about these terms can be sent through the contact page.
